Organisations That Process Information On Our Behalf
Our policy
We use trusted third-party organisations and technology providers to help us provide healthcare and run the practice. Where these organisations process personal or confidential patient information on our behalf, appropriate contracts and data protection arrangements are in place.
They are required to keep your information secure and confidential and may only use it for the purposes for which it has been provided.
Some of the main systems and services we use include:
EMIS
Our main electronic patient record system. It is used to record and manage information about your health, treatment and care.
Accurx patient triage
Allows patients to submit online requests to the practice and supports us in reviewing, managing and responding to those requests.
Accurx Scribe
A digital documentation tool which may be used by clinicians to assist with creating clinical notes during or following a consultation. The clinician remains responsible for reviewing and approving information before it is added to your medical record.
Lalu Care
Third party medical reporting service used to prepare private medical reports
Lexacom
Used for digital dictation and the preparation of clinical correspondence, such as referral letters.
We may also use other approved NHS systems and service providers to support areas such as appointments, prescribing, referrals, document management, communications, reporting and the secure storage and transfer of information.
We regularly review the organisations and systems we use. Our suppliers must comply with applicable data protection and confidentiality requirements.
Artificial intelligence and digital tools
Some of the digital systems we use may include artificial intelligence (AI) or automated technology to assist our staff.
For example, Accurx Scribe can assist a clinician with producing a written record of a consultation. These tools are used to support our healthcare professionals rather than replace their professional judgement.
Your GP will always tell you if they would like to use Accurx Scribe during your consultation and will ask for your consent before using it. You are free to decline, and saying no will not affect the care or treatment you receive.
Where an AI-enabled tool is used, appropriate data protection, confidentiality and information governance requirements apply. Clinical decisions about your care remain the responsibility of appropriately qualified healthcare professionals.
These tools are designed to support our healthcare professionals rather than replace their professional judgement. The GP remains responsible for checking the information produced and ensuring that the clinical record is accurate.

We do not make decisions about your medical treatment solely by automated means.
Other health and care organisations
The organisations listed above should not be confused with other health and care organisations with whom we may share information in order to provide your care.
For example, we may share relevant information with hospitals, community services, pharmacies, other GP practices, our Primary Care Network and other health or social care professionals.
These organisations may be responsible for your information in their own right and will have their own privacy notices explaining how they use it.
